Export or back up the relevant data first. Do not delete, void, unreconcile, or adjust historical transactions unless you understand the accounting impact.

QuickBooks Online resilience is not one download button. QuickBooks Online Advanced includes first-party backup and restore capabilities, but Intuit documents items and changes that are not fully preserved. Define the incident you need to recover from, verify plan and regional availability, export critical reports and source records independently, include connected apps, and run a documented restore test.
Best for: administrators, controllers, and advisers planning for QBO deletion, error, integration, or continuity events
What this guide covers—and what it does not
The page owns one search intent: backing up and restoring QuickBooks Online data. Related jobs have their own canonical guides so you can move between them without mixing product selection, setup, troubleshooting, and migration advice.
- This page owns Online backup, restore, export, and recovery planning.
- Desktop backup belongs to the offsite-backup guide.
- QBO-to-Desktop conversion is a migration, not a complete Online backup.
Evidence-first workflow
Prove recovery before an incident
Design from business records and recovery objectives, then test with non-production data.
- 1
Scope
List ledgers, lists, attachments, payroll, payments, apps, reports, settings, and audit evidence.
Evidence: Each dataset has an owner, retention period, and recovery method.
- 2
Capture
Configure available backup and export methods with access and monitoring.
Evidence: Success evidence is retained outside the affected account.
- 3
Restore
Test a bounded restore or recovery scenario without risking live records.
Evidence: Known limitations and manual reconstruction steps are recorded.
- 4
Reconcile
Compare financial reports, subledgers, settings, and integrations after recovery.
Evidence: The recovered environment passes owner-approved control totals.
Decision control
Choose from evidence, not a feature list
Use the same four gates for backing up and restoring QuickBooks Online data: define the job, surface constraints, choose the smallest workable option, then verify the records.
Match the protection method to the incident
Exports, transaction backups, audit history, and connected-app backups solve different problems.
| Your situation | Direction | Why |
|---|---|---|
| Need recovery from accidental data changes | Evaluate available QBO backup and restore | Point-in-time capabilities may help, subject to plan and documented coverage limits. |
| Need long-term financial and tax evidence | Maintain independent exports | Readable reports and source documents should not depend entirely on continued account access. |
| Need disaster continuity across connected apps | Create a system-level plan | QBO recovery does not automatically recover payroll, ecommerce, document, or operational systems. |
| Need a live Desktop replacement copy | Treat it as migration | Product conversion has feature and data limits and is not equivalent to full-fidelity restore. |
Map what the backup method does and does not cover
Review Intuit’s current documentation for the exact subscription and region. Record included companies, frequency, retention, restore points, administrator rights, exclusions, overwritten data, and behavior for payroll, payments, attachments, custom settings, reconciliations, and audit history.
Connected applications keep their own records and may continue syncing during an incident. Pause integrations when appropriate and include their exports, credentials, logs, and recovery sequence in the plan.
Keep independent, readable accounting evidence
Export period-end financial statements, trial balance, general ledger, receivable and payable aging, bank reconciliations, sales-tax and payroll records where permitted, key lists, and source-document indexes. Use consistent dates and document report settings.
Store exports under retention and access policies appropriate to the information. Validate that files open, totals agree, names and periods are clear, and restoration does not depend on a single administrator.
- Financial statement and trial-balance pack
- Detailed general ledger and subledger reports
- Reconciliation, filing, and payment evidence
- Source documents and connected-app exports
- Configuration, access, and integration register
Run a tabletop and a bounded restore test
Simulate deletion, bad import, compromised administrator, integration duplication, or unavailable service. Record detection, containment, decision authority, communication, restore steps, manual reconstruction, report comparisons, and reopening approval.
Choose control totals before the test. Recovery should reproduce not only total balances but also open invoices, bills, reconciliations, classifications, attachments, users, settings, and downstream integration state to the extent the method supports them.
Restoring company data can overwrite later work. Confirm scope, preserve current evidence, pause integrations, and obtain authorized approval before any production restore.
Completion checklist
Do not call the decision or setup complete until someone independent of the initial change can verify these items.
Frequently asked questions
Does QuickBooks Online automatically back up my company?
The service protects its platform, but user-facing backup and point-in-time restore capabilities depend on plan and current product behavior. Do not assume every record, setting, app, or change is recoverable.
Can I restore QuickBooks Online to yesterday?
QuickBooks Online Advanced has documented backup and restore capabilities, but availability and coverage have limits. Review the current first-party instructions and protect later work before restoring.
Is exporting to Excel a complete QuickBooks Online backup?
No. Exports can preserve readable reports and lists, but they do not recreate the entire application, relationships, settings, audit history, attachments, payroll, or integrations.
