Understanding the QBO File Format

A QBO file is essentially an OFX (Open Financial Exchange) document with a .qbo extension. Inside, it uses an SGML/XML structure to store bank statement data:

  • <STMTTRN> — Each transaction block contains a type code (DEBIT, CREDIT, CHECK, etc.), posting date, transaction amount, payee name, and optional memo/reference fields.
  • <DTPOSTED> — The transaction date in YYYYMMDD format (e.g., 20240115 for January 15, 2024). Our converter reformats this into Sage's preferred DD/MM/YYYY, MM/DD/YYYY, or YYYY-MM-DD format.
  • <TRNAMT> — The signed transaction amount. Negative values indicate debits (money out), positive values indicate credits (money in). Sage accepts both signed amounts and separate Money In/Money Out columns.

QuickBooks to Sage Migration Guide

Migrating from QuickBooks to Sage is a common transition for businesses that need more advanced inventory management, multi-currency support, or UK/EU-centric features. The biggest challenge during migration is moving your historical transaction data. Here's how to handle it:

  1. Export bank transactions from QuickBooks — In QuickBooks Online, go to Banking and export your transactions as a QBO file. In QuickBooks Desktop, you can export as IIF or use our IIF to Sage converter for that format.
  2. Convert QBO to Sage CSV — Upload the QBO file to this converter. Select 3-column or 4-column format and choose your date format to match your Sage regional settings.
  3. Import into Sage — In Sage Business Cloud, navigate to Banking → Import Statement → CSV. In Sage 50, go to Bank Accounts → Statement → Import. Confirm the date format when prompted and review the preview before completing the import.

Common QBO to Sage Conversion Issues

  • Date format mismatch — QBO files store dates in YYYYMMDD format. Sage needs DD/MM/YYYY (UK) or MM/DD/YYYY (US). Our converter handles this transformation automatically based on your chosen format.
  • Missing payee names — Some bank QBO exports have sparse <NAME> fields. The converter uses <MEMO> as a fallback when the payee name is empty, ensuring you never have blank descriptions in Sage.
